Duties:

  • Design and implement a volunteer program that aligns with festival operational needs, including recruitment, screening, and role assignments.
  • Forecast volunteer staffing requirements for all operational areas, such as ticketing, site maintenance, parking, and stage support.
  • Assist the Festival Manager in identifying strong community partners for the festival able to partner with us on events, provide donations or offer in-kind contributions.
  • Assist Festival Manager with program ad sales including outreach and co-ordinating deliverables for printing.
  • Manage applications to Festival Way (on-site market for visitors) and identify additional vendors as directed by the Festival Manager in order to diversify and improve the Festival Way experience for visitors.
  • Support community relations in Eden Mills and surrounding areas as directed by the Festival Manager.
  • Coordination of physical marketing assets (e.g., swag, signage, printed marketing materials).
  • Identification of free event listing opportunities, distribution of promotional material and development and execution of tactics to increase event attendance among university students and youth through outreach and partnerships.
  • Assist EMWF staff with event management and preparations, including organizing registration lists, assisting with set-up and tear-down, providing support to guests on-site and archiving event recordings and reports.
  • Organize, distribute and track deliveries to the EMWF’s office in Eden Mills as required

Skills:

  • Effective verbal and written communication is essential for coordinating with vendors, staff, and volunteers.
  • Manage multiple moving parts, including schedules, budgets, and venue logistics simultaneously. This involves tracking deadlines, managing registration systems, and ensuring minute details are addressed to keep events on track.
  • Ability to remain calm under pressure and handle unexpected challenges (such as vendor cancellations or technical issues) is critical.
  • Proficiency in Google Workspace apps and familiarity with project management tools.
  • Team-oriented, with the ability to work collaboratively and inclusively.
  • Flexibility to work some evenings and weekends, with in-person tasks in Eden Mills.
  • Valid driver’s license and reliable transportation are assets.
